General

What is Sepera AI and who is it for?

Sepera AI is a B2B SaaS platform that helps business leaders monitor team wellbeing, prevent burnout and reduce turnover. It is designed for teams of any size — from 3 people (Free plan) to hundreds (Enterprise plan) — in any sector.

How does the daily check-in work?

Each member takes 10 seconds in the morning to rate their mood on a scale of 1–10, choose a mood and add an optional note. No long questionnaire, no pressure. The AI processes this data in the background to detect patterns over time.

How long does it take to configure Sepera AI?

Less than 5 minutes. You create the account, configure the organisation with the team DNA (10 quick questions), invite members by link or email and the team can start immediately. Nothing needs to be installed.

Does it work for remote working teams?

Perfectly. The Virtual Studio with thematic rooms is designed specifically for distributed teams. Real-time presence, session timers and integrated video calls (Business+) replicate the sociality of the office in digital format.

Can I use Sepera AI from mobile?

Yes, the web interface is fully responsive and optimised for mobile. A native iOS and Android app is in our roadmap.

Free plan and Ghost Mode

Can I try Sepera AI without a credit card?

Yes. The Free plan is free forever, up to 3 users. We don't ask for a credit card. You can switch to a paid plan at any time from the settings panel.

What is Ghost Mode in the Free plan?

Ghost Mode is an exclusive Free plan feature that allows you to create "Ghost Members" — fictitious profiles of your team — and manually enter perceived behavioural data (wellbeing score, mood, engagement). The AI calculates the burnout index and trend over time even without inviting real people. When you're ready, switch to the Team plan to automate everything.

Can I invite real people with the Free plan?

Yes, up to 3 people including the leader. The Free plan does not support automatic email invites beyond this limit, but you can share the invite link manually. For larger teams, consider the Team plan (14 people) or Business (50 people).

Does the Free plan have AI limitations?

The Free plan includes Sepera AI Chat with 50 messages/month (leaders & managers) and Sepera Personal Coach with 30 sessions/month per member, plus 1 active project with AI chat (100 mentions/month). Departments and department chat are not available. AI in group chat is passive (silent analysis, not directly callable).

Projects

What is the Projects feature?

Projects are organisational entities within the team. Each project has its own dedicated chat, its own assigned members and separate wellbeing metrics. The leader can create and manage projects; members only see the projects they have been assigned to.

How many projects can I create?

It depends on the plan: Free = 1 active project, Team = 10 active projects, Business = 30 active projects, Enterprise = custom. The limit is automatically checked at the time of creation.

How does the per-project chat work?

Each project has a real-time chat visible only to assigned members (and leaders). Messages are separate from the general team chat, so each project maintains its own communication.

What is 'Talent Loss Risk per Project'?

With the Team+ plan, the AI analyses the stress patterns of members in each project (last 14 days). If it detects a high risk, it alerts the leader with an estimated potential turnover cost: each at-risk person is valued at €5,000. The goal is to intervene before the damage materialises.

Can I have separate analytics for each project?

Yes. In the Analytics section (Team+) you find two charts dedicated to projects: 'Mental Energy per Project' (average score per project) and 'Talent Loss Risk per Project' (burnout index and cost estimate). Each project also has its own internal Analytics tab.

Departments & Managers

What is the Manager role in Sepera AI?

The Manager is an intermediate role between Leader and Member. They have access to a dashboard and analytics filtered for their own department: they see check-ins, wellbeing trends and burnout risks only for members of their department. They cannot create departments or manage the team globally — that is the Leader's prerogative.

How do Departments work?

The Leader creates departments from the Organisation section, assigns a Manager to each and adds members. Each department has its own dedicated chat (visible to all members of the department and its areas), a sidebar section and dedicated analytics accessible to the Manager.

How many departments can I create?

It depends on the plan: Free = no departments, Team = up to 5 departments (max 7 Managers), Business = up to 15 departments (max 20 Managers), Enterprise = custom. Limits are automatically checked at creation.

What is the Department and Area Chat?

Department Chat is a real-time chat dedicated to each department and its areas. It is visible to all members of the department and the Manager and allows direct communication without limits. Messages are unlimited. The AI silently monitors communication patterns to provide insights to the leader, but cannot be called directly in chat.

Can the Manager invite new members?

Yes. The Manager can generate a pre-filled invite link that automatically assigns the new user to their department with the Member role. However, they cannot invite users to the organisation globally: that is a function reserved for the Leader.

Does the Manager use Sepera AI Chat or Sepera Personal Coach?

Managers access Sepera AI Chat with department-scoped data (their team's metrics). Sepera Personal Coach is reserved exclusively for regular members: Free = 30 sessions/month, Team = 100/month, Business = 1,500/month, Enterprise = custom.

Can a department member see the Manager's analytics?

No. Analytics are visible only to the Manager and Leader. Regular members do not have access to the Analytics section — they only see their personal dashboard with check-ins and coach.

Paid plans

What is the difference between Team and Business?

The Team plan (€29/month) is ideal for startups and small departments: up to 14 users, 10 active Projects, Coach AI (100 sessions/month per user), Teams, Virtual Office and Analytics. The Business plan (€89/month) adds: up to 50 users, 30 active Projects, Coach AI (1,500 sessions/month per user), integrated video calls, message tone analysis, pre-burnout alerts and monthly PDF reports with ROI calculation.

Can I change plan at any time?

Yes. You can switch to a higher plan at any time. The change is immediate and billing is updated proportionally to the remaining period of the month.

How does billing work?

Billing is monthly. You can cancel at any time — there are no long-term contracts. For the Enterprise plan, we offer dedicated annual billing with custom conditions.

Is there a discount for annual payment?

For the Team and Business plans we are preparing the annual payment option with a 20% discount. For the Enterprise plan, contact us to discuss terms.

Is the Enterprise plan fully customised?

Yes. The Enterprise plan is a fully personalised solution for large organisations: dedicated assistance and priority support, and personalised assisted setup. Contact us for a quote.

Privacy and security

Is employee data private?

Absolutely yes. Individual data is encrypted. The leader only sees anonymous aggregates and team trends — never personal details of individuals. Sepera Personal Coach is a completely private space for each member.

Where is data stored?

All data is hosted on Supabase with infrastructure in Europe (AWS eu-west-1). Data is never shared with third parties for commercial purposes.

Is Sepera AI GDPR compliant?

Yes. Sepera AI is designed to be GDPR compliant: right to access, erasure and data portability. For specific compliance requests, contact us.

Does Sepera Personal Coach share data with the leader?

No. Sepera Personal Coach is a completely separate space. Conversations with the coach are private and are never visible to the leader or other team members.

Features

What is the difference between Sepera AI Chat and Coach AI?

Sepera AI Chat is for leaders and managers: leaders see aggregated team data, managers see their department's metrics. Sepera Personal Coach is the dedicated private coaching space for regular members. The two tools serve different roles and do not communicate.

How are burnout risks detected?

The AI analyses behavioural patterns from the previous 14 days: progressive score decline, repeated negative mood, absences from check-ins for 3+ days, decline in task completion. The leader receives an anonymous alert before the situation worsens.

How does Virtual Studio work?

The Virtual Studio is a map of thematic rooms (Focus, Collaboration, Break, Meeting) where members appear as avatars in real-time presence. You can see who is working, start a video call directly from the room and track work patterns over time.

What is the onboarding DNA Survey?

During onboarding, each member answers 10 quick questions about their work style, communication preferences and reaction to stress. This behavioural DNA is used by the AI to personalise Coach responses and, in the future, to calculate compatibility between team members.

Support and onboarding

Is support available if I have problems?

Yes. Email support is available for all plans. The Enterprise plan includes dedicated assistance, priority support and personalised assisted setup.

How can I invite new members to my team?

From the Settings page you can send invites by email (Team+ plans) or copy a personalised invite link. New members complete a brief onboarding (DNA survey) and are immediately operational.

What happens if I exceed my plan limits?

We will show you a warning when you are approaching the limits. We never block the service without notice. You will receive a notification and can upgrade conveniently from the settings panel.
